TRACK: Volunteer Duties / Requirements

Announcer: 

Duties: The announcer's primary job is to assist in keeping the meet on schedule, to aid competitors in reporting on time, alert coaches of the upcoming events and inform spectators of what is happening.

Experience: Comfortable with public speaking.

Physical Requirements: Strong, clear voice. Seated.


Finish Line (2 shifts):

Duties: Lap counting, changing lap board & bell ringer, finish line flag, direct/assist runners off the field towards the water station, and help with back up timing, if needed.

Physical requirements: Walking/Standing (not shaded)


First Aid & Water (2 shifts):

Duties: Administer first aid & any emergency care. Notify volunteer tent & meet manager of any need for back up from EMS. Monitor flow of water station, fill cups, ensure they are disposed of properly, and request refills of ice and water as needed.

Training requirements: Medical training (MD, OD, NP, RN, EMT, Firefighter) Current CPR, AED, & First Aid training

Physical requirements: some lifting, bending, standing, sitting, in shaded area


Gate Monitor (2 shifts):

Duties: Responsible for admitting authorized individuals (coaches, athletes, officials, and volunteers with lanyards) into the track area when the track is clear and preventing unauthorized individuals from accessing the infield. Also responsible for helping to direct the flow of athletes across the track to exit the area when the track is clear. maintaining area, so trash doesn’t get on the track.

Physical requirements: Standing, opening & closing the gate (not shaded)


High Jump (1 shift):

Duties: Responsible for checking in and corralling athletes, directing the flow of competition, placing/replacing the high jump bar, measuring and recording jumps.

Physical requirements: Standing (minimal shade), bending, lifting, and reaching. Jobs will be assigned by the coordinator.


Hurdles Crew:

Duties: Setting up the hurdles during the 3200m races under the supervision of the Head hurdles coach. Adjusting and moving hurdles between age group races and removing hurdles from the track at the end of the event.

Physical Requirements: moderate lifting, walking, and bending. Not shaded.


Infield Monitor – Finish Line (2 shifts):

Duties: Responsible for keeping a clear line of sight to Lane 1 for the timer at the start of races. Also, must work with Gate Monitor to control the flow of traffic from the infield to the finish line gate, ensuring the track is clear and safe for crossing. Monitor for any unauthorized individuals on the infield and direct them off the track. Notify any TO Flyers coach or the Director of Volunteers if you are having issues with this.

Physical requirements: Standing, opening & closing the gate (not shaded)


Long Jump (2 shifts):

Duties: Responsible for checking in and corralling athletes, directing the flow of competition, watching for faults and other technical issues, raking sand pit, measuring and recording jumps. Jobs will be assigned by the coordinator.

Physical requirements: Standing (no shade), bending/stooping, lifting, & reaching.


Photographer: 

Duties: Take photos during the meets of different events and age groups. Upload to a secure site throughout the season and provide a private access link for the club, so parents can view and download photos.

Experience: Professional/Amateur Hobby experience


Set Up:

Duties: Transporting tents and other equipment from storage bins to stations. Setting up tents, tables, and other equipment.

Physical requirements: Early Riser!! Ability to lift, carry, adjust equipment, and move quickly. Double time will be given for this job.


Shot Put (1 shift):

Duties: Responsible for organizing athletes and the flow of competition, watching for faults and other technical issues, measuring throws.

Physical requirements: Standing, stooping/bending (min. shade), lifting, & reaching.


Staging (2 shifts):

Duties: Manage flow of athletes through staging to the start line. Arrange athletes according to age, gender, and speed for each race. Applying hip stickers, escorting to start line, assist with line judging when needed. Jobs will be assigned by the coordinator.

Physical requirements: Standing and walking (some shade), able to move and work quickly.


Staging - Data Entry (2 shifts)

Duties: Responsible for checking in athletes on the laptop using meet manager program. Work closely with the timer to keep meet flowing efficiently.

Experience: Comfortable with data entry. Timer will train. Previous experience preferred.

Physical requirements: Seated in the staging tent (shade).


Staging – Scanning (2 shifts)

Duties: Responsible for scanning and reading athlete name aloud, so data entry person can confirm they were entered into the computer, then directing athlete to waiting area. Work closely with the staging and the timer to keep meet flowing efficiently.

Physical requirements: Seated in the staging tent (shade).


Tear Down: 

Duties: Bleachers/Outside Track - Responsible for breakdown and removal of team tents and any equipment set up outside the field. Checking bleachers for lost and found and taking recycling out of bins for pick up.

Field Events: Responsible for removal and storage of high jump and long jump event equipment and tents. Covering the high jump pit, raking and covering the long jump pits and picking up trash/recycling from around the infield.

Staging/Timing: Responsible for removal and storage of all tents, tables, chairs and flooring at timing and staging area. Also, the removal of hurdles and any other equipment from the infield.

Physical requirements: Standing, lifting, and carrying. Not shaded. Double time will be given for this job.


Volunteer Tent (2 shifts)

Duties: Responsible for setup and clean-up of station (excluding tent and tables), distribution & collection of radios, coordinator bibs, and event/station check in sheets. Manage flow of volunteer check-in and out for each shift, distribute and collect name tag lanyards, monitor sheets for areas of need, and work with Event/Station Coordinators, Ass't Volunteer Coordinator, and Director of Volunteer Operations to ensure proper staffing. Keep a list of back up volunteers to contact if extra people are needed. Maintain lost and found on meet day. Provide information and direction, as needed, and refer any concerns or issues to the Ass't Volunteer Coordinator, Director of Volunteer Operations, or the Meet Coordinator. Communicate with the announcer to broadcast volunteer check in times. Hand off all sign in sheets, bin, radios, etc to the Director of Volunteer Operations at the end of the meet.

Physical requirements: Standing and seated, light lifting, shade.


Non-Meet Volunteer Roles


Awards Picnic Set-Up:


Awards Picnic Grill Master: 

Duties: Prepping barbeque pit and cooking hamburgers and hotdogs during the picnic. Must have cooking experience. Physical Requirements: Standing, bending, light lifting, able to tolerate being around the hot grill. Double time will be given for this job.

Experience: Previous experience cooking on a barbeque

Physical Requirements: Standing, stooping/bending (some shade), lifting, & reaching. Tolerant of the heat from the bbq.


Awards Picnic Food Table Prep & Service:

Duties: Setting up potluck items and drinks in coolers with ice. Keep plates, utensils, and food items stocked as people come through the line. Have a separate gluten free area for food and condiments. Clean and rinse dishes when possible so they're ready for pick up at the end. Double time will be given for this job.

Physical Requirements: Standing, stooping/bending (some shade), lifting, & reaching.


Clean Up: 

Duties: Clear tables and dispose of trash. Return any reusable supplies and lost and found items to the Picnic coordinator. Help at food table and grill to rinse dishes and utensils for pick up and package any unused items to return to the Director of Volunteer Operations.

Physical Requirements: walking, bending, light lifting. Mostly shaded.
